Before booking a commercial hot air balloon flight in South Africa, confirm:
- The legal name of the company operating the flight
- Whether the operator holds the necessary commercial aviation approvals
- That the flight will be conducted by an appropriately licensed balloon pilot
- That the aircraft is registered and maintained
- That passenger liability insurance is in place
- The actual launch location and meeting arrangements
- What the advertised rate includes
- The cancellation, postponement and refund terms
- The name of the business receiving your payment
- That the booking confirmation comes directly from the operator or an authorised agent
If a company is unwilling or unable to answer these questions clearly, do not rush into making payment.
Establish who will operate the flight
The company advertising a balloon safari is not always the company operating the aircraft.
Travel agents, hotels, activity websites and tourism businesses may sell flights on behalf of an established operator. This is not necessarily a problem, provided the actual operator is clearly identified and the booking is made through an authorised sales channel.
Before paying, ask:
- Which company will operate the balloon?
- Where will the flight depart from?
- Who will issue the reservation confirmation?
- Whose terms and conditions apply?
- Who is responsible if the flight is postponed or cancelled?
The name of the operator should not be treated like a state secret. A legitimate business should be able to provide this information without hesitation.
Confirm that it is an authorised commercial operation
In South Africa, the provision of domestic commercial air services is regulated. The Air Services Licensing Act provides for the licensing and control of domestic air services, while the South African Civil Aviation Authority oversees civil aviation safety and regulatory compliance.
A commercial balloon operator should be able to identify its current:
- Air Service Licence
- Air Operator Certificate
These documents serve different purposes. Broadly, the Air Service Licence concerns the authority to provide the commercial air service, while the Air Operator Certificate relates to the organisation’s ability to conduct the operation in accordance with approved aviation requirements.
Do not assume that owning a balloon, holding a pilot licence or offering recreational flights automatically authorises a person or company to sell commercial passenger flights.
If you are uncertain about an operator’s status, request its aviation approval details and verify them with the South African Civil Aviation Authority.
Ask about the pilot
Hot air balloons are aircraft, and their pilots require specialist training and licensing.
The SACAA administers free-balloon pilot licensing under Part 69 of the Civil Aviation Regulations. Its published licensing information includes applications and practical flight testing for the issue and renewal of a Free Balloon Pilot Licence.
For a commercial passenger flight, the pilot must hold the appropriate licence, ratings and authorisations for the operation being conducted.
Passengers are not expected to inspect a pilot’s entire aviation file. However, the operator should be able to confirm that its pilots are appropriately licensed and current.
Experience also matters. Balloon pilots must interpret changing wind conditions, select suitable altitudes, assess potential landing areas and make sound operational decisions throughout the flight.
A professional pilot will never allow pressure from passengers, photographers, schedules or special occasions to override safety considerations.
Check that the balloons are registered and maintained
A colourful balloon envelope and wicker basket may appear charmingly simple, but a commercial balloon is a regulated aircraft system.
The complete aircraft includes:
- The balloon envelope
- The basket
- Burners
- Fuel systems and cylinders
- Load-bearing cables and attachments
- Flight instruments
- Other safety and operational equipment
Commercial aircraft must be maintained according to applicable requirements, inspection schedules and approved procedures.
Ask whether the balloons used for passenger flights are registered and maintained through an appropriate aviation maintenance system. The operator should also have established processes for recording defects, completing inspections and removing equipment from service when required.
A busy flying schedule is never a reason to postpone necessary maintenance.
Confirm that passenger liability insurance is in place
Commercial balloon operators should carry appropriate passenger legal liability insurance.
Insurance does not replace proper licensing, maintenance or good operational decisions. It is an additional protection and another indication that the company is operating as a professional passenger-carrying business.
Ask the operator to confirm that passenger legal liability insurance is current and applicable to the flight being offered.
Be cautious if the answer is vague, dismissive or limited to general business insurance. Aviation passenger liability cover is not the same as ordinary public liability insurance for a tourism venue.
Look beyond social media photographs
Social media is useful for discovering experiences, but it should not be the only evidence used when choosing an aviation operator.
Fraudulent or unauthorised accounts can copy:
- Balloon photographs
- Passenger reviews
- Videos
- Company descriptions
- Logos
- Website wording
- Special offers
Check whether the business has an established website containing a physical location, direct contact information, booking terms and details about the operator.
Search for the company independently instead of relying only on a link sent through a direct message. Check that email addresses use the company’s genuine domain and that telephone numbers correspond with those published on its official website.
A large following is not an aviation approval, and a convincing Instagram page is not an Air Operator Certificate.
Confirm the actual launch location
A legitimate operator should be able to explain where passengers meet and how the flight arrangements work.
Hot air balloons travel with the wind and do not usually land at their original launch point. A professional operation therefore requires suitable launch arrangements, access to potential landing areas, ground-support vehicles, communication systems and an experienced retrieval crew.
Before booking, confirm:
- The meeting point
- The approximate arrival time
- Whether secure parking is available
- Whether transport to the launch site is included
- How passengers return after landing
- The approximate duration of the complete experience
- Whether breakfast or other refreshments are included
Be wary of vague claims that a balloon can simply launch from any hotel, resort, wedding venue or private property requested by the passenger. Commercial balloon operations require proper planning, permissions and suitable weather and operational conditions.
Understand what the price includes
Two balloon-safari prices may look similar while including very different experiences.
Ask for a written list of what is included in the quoted rate. Depending on the operator and product, this may include:

- Post-flight sparkling wine
- Ground transport after landing
- Breakfast
- Certificates
- Transfers from a hotel
- Conservation or park fees
- Additional hospitality services
Also establish whether the advertised price is:
- Per person or per couple
- For a shared or private balloon
- Subject to a minimum number of passengers
- Restricted to certain days
- Valid only during a promotional period
- Dependent on passenger weights or balloon availability
The cheapest advertised figure is not necessarily the final cost, nor does it necessarily represent the same experience.
Read the booking terms before paying
Hot air ballooning is entirely weather-dependent. Flights may need to be postponed or cancelled when conditions are unsuitable.
Before making payment, read the operator’s terms covering:
- Weather cancellations
- Rebooking procedures
- Ticket validity
- Passenger cancellations
- Refund eligibility
- Late arrival and failure to check in
- Passenger age and fitness requirements
- Pregnancy and medical restrictions
- Weight information
- Transfer and accommodation costs
Do not rely on a verbal promise that contradicts the written terms.
A reputable operator should explain what happens if weather prevents the flight and should provide the applicable terms before payment is made.
Treat unrealistic promises as a warning
No responsible balloon operator can guarantee an exact flight path, altitude, landing place or view.
A balloon travels with the wind. Although a pilot can use different wind directions at different altitudes, the aircraft cannot be steered along a predetermined route in the same way as a motor vehicle or conventional aeroplane.
Be cautious if someone promises:
- A guaranteed flight over a particular property
- A landing at an exact location
- A flight regardless of the weather
- A specific balloon or pilot without operational qualification
- A fixed airborne duration under all conditions
- That a last-minute special arrangement can bypass normal safety procedures
The pilot must retain the final authority to decide whether the flight can proceed and how it will be conducted.
Weather dependence is not poor service. It is an unavoidable part of responsible balloon operation.
Check who is receiving your payment
Before transferring money or completing an online payment, check that the recipient corresponds with the operator or authorised booking business.
Be particularly careful when:
- Payment is requested into an individual’s personal account
- The account name does not correspond with the business
- Banking details change without explanation
- Payment is requested through an unusual cash-transfer service
- You are pressured to pay immediately to secure a heavily discounted rate
- Communication takes place only through social media messages
- No formal quotation or booking terms are provided
If anything appears inconsistent, contact the operator using the telephone number or email address published independently on its official website.
Do not use contact details contained only in the suspicious message to verify the suspicious message. That is rather like asking the fox whether the henhouse is secure.
